This Privacy Policy describes how DentiTalk (“DentiTalk”, “we”, “us”, or “our”), a service operated by Adam Gabet, an Israeli sole proprietor operating the registered business גולשים, collects, uses, processes, and protects personal information in connection with the DentiTalk dental dictation and transcription software, website, and related services (collectively, the “Service”).

The Service is intended for use by dentists, dental clinics, and other authorized professional users.

We designed the Service to minimize the collection and retention of clinical information. In particular, the Service is not intended to operate as a patient-record repository, and clinical dictation is processed transiently as described below.

1. Information We Collect

1.1 Account and User Information

When a dentist, clinic, or other professional user creates or uses an account, we may collect information such as:

  • name;
  • email address and other contact information;
  • clinic, practice, or organization name;
  • business or clinic address;
  • professional or business information;
  • account identifiers;
  • authentication and account-security information;
  • subscription, billing, and payment-related information; and
  • communications with us, including support requests.

We retain this information as necessary to operate and administer the Service.

1.2 Usage and Technical Information

We may collect technical and operational information relating to use of the Service, including:

  • application events and feature usage;
  • timestamps;
  • device and application information;
  • IP address and related network information;
  • authentication and security events;
  • error and performance information; and
  • usage statistics.

We use this information to operate, secure, maintain, troubleshoot, and improve the Service.

Our analytics systems are not intended to receive patient clinical content, dictation audio, or transcription content.

1.3 Clinical Dictation

The Service allows an authorized professional user to dictate content for transcription and related text processing.

Clinical dictation may contain personal information or medical information if the user includes such information while dictating.

The Service processes clinical dictation solely as necessary to provide the requested transcription and text-processing functionality.

DentiTalk does not maintain patient profiles or a repository of patient clinical records through this functionality.

DentiTalk uses streaming processing by default. In this mode, audio captured through the Service is transmitted for speech-to-text processing as it is recorded, and DentiTalk does not intentionally retain an audio recording after processing.

DentiTalk may also use batch processing where needed to complete a transcription. In this mode, audio may be stored temporarily on DentiTalk’s infrastructure while the transcription is processed. Temporary audio is subject to deletion mechanisms following completion or failure of the applicable processing operation.

Transcription content is processed transiently and returned to the professional user. We do not intentionally retain clinical dictation or resulting transcription content after completion of the applicable processing operation.

Clinical dictation and transcription content are not intentionally included in our product analytics.

1.4 Learned Vocabulary

To improve transcription accuracy, the Service may maintain a limited learned vocabulary derived from use of the transcription functionality. Learned vocabulary may consist of individual words or short word combinations. DentiTalk maintains measures designed to minimize the inclusion of patient-identifying information in learned vocabulary. Learned vocabulary does not include the underlying audio, completed transcription, or surrounding dictation context.

Learned vocabulary may be used to improve transcription accuracy for an individual user or more generally within the Service. The Service may also retain user-configured preferences or custom instructions where a user chooses to configure them. Such persistent customization information is maintained separately from completed clinical dictation and transcripts and is not intended to constitute a patient record or clinical history.

2. How We Use Information

We process information for purposes including:

  • providing and operating the Service;
  • authenticating users and managing accounts;
  • providing transcription and related text-processing functionality;
  • maintaining the security and integrity of the Service;
  • detecting and preventing misuse, fraud, or security incidents;
  • providing customer support;
  • troubleshooting technical problems;
  • administering subscriptions and payments;
  • understanding the use and performance of the Service using non-clinical usage information;
  • complying with applicable legal obligations; and
  • establishing, exercising, or defending legal rights.

Clinical dictation and transcription content are processed for the purpose of providing the functionality requested by the professional user.

We do not use clinical dictation or transcription content for advertising.

We do not sell clinical dictation or transcription content.

We do not use clinical dictation or transcription content to train DentiTalk models or to train third-party models on DentiTalk’s behalf.

We do not use clinical dictation or transcription content for unrelated product analytics or other secondary commercial purposes.

DentiTalk may generate and use non-clinical usage statistics or aggregate metrics relating to operation and use of the Service, provided that such information does not include clinical content or information intended to identify a patient.

DentiTalk personnel do not routinely access clinical dictation or transcription content. Where exceptional access is reasonably necessary, such as to investigate a security incident or comply with a binding legal requirement, access is limited to what is reasonably necessary and is subject to appropriate confidentiality and security controls.

3. Dental Clinics and Professional Users

The Service is provided primarily to dental professionals and dental clinics.

The clinic or professional using the Service decides what information to dictate and how to use the resulting transcription.

Professional users are responsible for ensuring that their use of the Service, including the information they choose to submit, complies with applicable privacy, confidentiality, professional, and medical-record obligations.

When DentiTalk processes patient-related information for a clinic or other organization, we use that information only to provide the Service requested by the customer, in accordance with our contractual arrangements and applicable law.

4. Service Providers and Subprocessors

We use selected service providers to operate the Service.

Depending on the functionality used, these providers may include providers of:

  • speech-to-text processing;
  • cloud and network infrastructure;
  • AI-based text processing;
  • hosting;
  • security and operational infrastructure; and
  • privacy-conscious analytics for non-clinical product usage.

Our current providers may include Soniox, Cloudflare, DigitalOcean, Supabase, and Sentry, as applicable to the relevant functionality. Soniox provides speech-to-text processing; Cloudflare provides network, security, infrastructure, and applicable automated text or fallback transcription processing; DigitalOcean provides hosting infrastructure used for DentiTalk’s self-hosted operational analytics; and Sentry provides application error monitoring, diagnostics, and performance monitoring. Supabase provides managed database and authentication infrastructure used for professional-user accounts and limited persistent application data, including learned vocabulary.

We configure providers handling clinical content so that such information is processed only as required to provide the Service and is not retained for unrelated purposes. DentiTalk does not intentionally transmit clinical content to its DigitalOcean-hosted analytics system or to Sentry.

5. Processing Outside Israel

DentiTalk uses service providers and infrastructure located outside Israel, including in the European Union and other jurisdictions. As a result, personal information may be transferred to or processed outside Israel in connection with providing the Service.

Where appropriate, we select or configure service providers to use European data-hosting regions. For example, DentiTalk’s primary application database is hosted in the European Union.

Where personal information is transferred or processed outside Israel, we take measures designed to ensure that it is handled in accordance with applicable Israeli privacy law and appropriate contractual and security safeguards.

6. Data Retention

We retain account, business, security, and operational information for as long as reasonably necessary to provide and administer the Service, maintain security, comply with legal obligations, resolve disputes, and enforce our agreements.

Clinical dictation and transcription content are processed for the purpose of providing the requested functionality and are not intentionally retained after that processing is completed. Temporary clinical data created where technically necessary is subject to deletion mechanisms following completion or failure of the applicable processing operation. DentiTalk does not intentionally retain temporary clinical audio or transient transcription content in routine persistent backups.

7. Information Security

We implement technical and organizational measures designed to protect personal information according to its nature and the risks associated with its processing.

These measures may include, as appropriate:

  • encryption of information in transit;
  • access restrictions and authentication controls;
  • restrictions on access to production systems;
  • separation of clinical processing from product analytics;
  • minimization of clinical-data retention;
  • automated deletion and cleanup mechanisms;
  • security logging and monitoring; and
  • security measures relating to service providers that process information on our behalf.

No information system is completely secure. We take reasonable technical and organizational measures designed to protect personal information and reduce security risks.

8. No Sale or Advertising Use of Clinical Information

We do not sell patient clinical information.

We do not use clinical dictation or transcription content to build advertising profiles, deliver targeted advertising, conduct unrelated product analytics involving retention or use of clinical content, or for unrelated secondary commercial purposes.

We do not provide clinical dictation or transcription content to third parties for their independent marketing purposes.

9. Access and Correction

Applicable Israeli privacy law may provide individuals with rights regarding personal information held about them, including rights to review such information and, in certain circumstances, to request correction of information that is incomplete, incorrect, unclear, or outdated.

Requests concerning personal information held directly by DentiTalk may be submitted using the contact details below and will be handled in accordance with applicable law.

Requests concerning patient information should generally be directed to the dental clinic or other professional customer responsible for that information. Where required and appropriate, DentiTalk will provide appropriate assistance to the relevant customer in addressing such requests.

10. Providing Information

Certain information is necessary for us to provide the Service.

Unless we specifically state otherwise, providing information to DentiTalk is not required by law and depends on the user’s choice to use the Service or the applicable feature. Certain information is nevertheless necessary for us to provide the Service or a requested feature, and choosing not to provide it may prevent us from providing that Service or feature.

For example, a professional user cannot receive transcription functionality without transmitting the audio necessary to perform the requested transcription.

11. Cookies and Similar Technologies

Our website or Service may use cookies or similar technologies that are necessary for authentication, security, preferences, and operation of the Service.

Where we use analytics technologies, we seek to limit them to product and technical usage information and not intentionally transmit clinical dictation or transcription content through those systems.

12. Security Incidents

If we become aware of a security incident involving personal information, we will investigate and respond in accordance with applicable law and our contractual obligations.

Where required or appropriate, this may include taking steps to contain and remediate the incident and providing required notifications to customers, regulators, or affected persons.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to the Service, our processing practices, applicable law, or other operational requirements.

We will publish the updated version and update the “Last Updated” date above. Where required by law or appropriate due to the nature of a material change, we may provide additional notice.
